Accounting / Office Manager

Location: Danville
Type: Temp-to-Hire
Compensation: $75,000-$85,000 annually

Key Responsibilities

  • Manage bi-weekly payroll for both field and office personnel using QuickBooks, ensuring accuracy and timely submission
  • Perform monthly reconciliations for all bank and credit card accounts and coordinate finalized data with an external accounting partner for financial reporting
  • Review, negotiate, and execute agreements with vendors, subcontractors, and clients
  • Prepare and distribute progress billings and final invoices on a monthly schedule (experience with AIA-style billing highly preferred)
  • Proactively oversee collections and accounts receivable, with a strong emphasis on construction-related collection processes
  • Verify field personnel timesheets against job schedules to ensure complete and correct payroll data
  • Monitor job costs, change orders, and budget adjustments throughout each project, communicating updates to clients as needed
  • Maintain a well-organized digital filing system containing contracts, invoices, compliance documentation, and internal reporting
  • Provide occasional HR administrative support, including onboarding coordination and benefits-related tasks
  • Assist with ongoing improvements to internal workflows and administrative processes
  • Manage vendor payments and routine office expenses on monthly and annual cycles

Required Qualifications & Skills

  • Minimum of 5 years of administrative and/or bookkeeping experience in the construction industry (experience in stormwater, environmental, or civil construction is a major plus)
  • Strong background in construction billing practices, including progress billing, percentage-of-completion invoicing, and collections
  • Advanced proficiency in QuickBooks Online; certification is a significant asset
  • High-level expertise in Google Workspace and Microsoft Excel, including pivot tables, VLOOKUP, and advanced formulas
